You have never written down your ideal customer, but you have twelve months of invoices. Those records show who paid, what they bought and whether they returned. This guide turns the export into a first customer profile without asking AI to invent a strategy from messy data.

Owners often describe the customer they enjoy working with most. That is useful, but it is not the same as seeing which customer groups generated repeat work, bought several services or concentrated too much revenue in one relationship.

An invoice export cannot tell you which customer was pleasant, profitable after labour or likely to refer others unless those facts exist in the data. It can answer narrower questions: total invoiced amount by customer, number of invoices, service categories and patterns by industry or region.

That narrower evidence is enough for a first draft. A positioning and channel plan needs a customer definition the team can recognise, not a fictional persona with a stock photograph.

Copilot needs a clean table and controlled access

Microsoft's training guidance says Copilot in Excel needs data formatted as a table or clean range for sorting, filtering, highlighting and formula work. The range should have one header row, no merged cells, no blank rows or columns and no subtotals. This is where most of the real work sits. Accounting exports often include report titles, subtotal rows and repeated headers. AI does not remove the need to define one row and one column consistently.

Copilot in Excel offers Chat only, Plan and Allow editing modes. Chat only can answer without changing the workbook. Plan presents proposed steps before changes. Access matters as much as file format. Microsoft says Copilot follows the tenant's identity and permission model and inherits sensitivity labels, with exact controls depending on the subscription. A workbook stored in a folder open to the whole company is available to every authorised user of that folder (Microsoft enterprise data protection, checked: 2026-10-05).

Turn the export into a one-page profile

Export fields that answer a business question

Export one completed twelve-month period. Use a stable company identifier, invoice date, net amount, service or item description, industry code if the system has one, and region only when it supports a real decision.

Do not start with contact names, personal email addresses or phone numbers. This analysis does not need them to calculate totals by customer company. If the export mixes organisations and private individuals, stop and decide how those records may be handled before uploading the file anywhere.

For data-protection obligations, use the official text of the General Data Protection Regulation and advice appropriate to your situation. This article does not interpret a lawful basis, processing agreement or retention duty.

Keep an untouched source export and create a working copy. Record the export date and filters so another person can reproduce it.

Remove report furniture and standardise columns

Delete report titles, subtotal lines, empty separators and repeated headings from the working copy. Give each column one meaning and each row one invoice or line item. Do not combine both grain levels in one table.

Standardise customer identifiers before grouping. "ABC Ltd," "ABC Limited" and an old trading name may refer to one account. Merge only when the accounting or CRM record confirms the relationship.

Format the result as an Excel table and save it in a restricted OneDrive or SharePoint location. Microsoft says questions about a selected range can work without full table formatting, but generated formulas and PivotTables still require structured table data (Microsoft training on preparing Excel data, checked: 2026-10-05).

Calculate the basic pattern before asking for prose

Use a PivotTable to calculate invoiced amount and invoice count by customer. Add service category, industry or region only when the source has a reliable field.

Copilot can create PivotTables from a description and suggest formulas with an explanation before insertion. Microsoft gives examples such as summarising sales by product and region (Microsoft training on analysing Excel data, checked: 2026-10-05).

Ask narrow questions in Chat only:

  • Which customers have the highest invoiced amount?
  • Which customers have more than one invoice?
  • Which service categories recur for the same customer?
  • Which industries appear among repeat customers?

Verify every answer against the PivotTable. A generated summary is a reading aid, not the accounting record.

Group service descriptions carefully

Invoice descriptions are often inconsistent. Copilot can identify themes in a text column or categorise entries, according to Microsoft's training material (Microsoft training on analysing Excel data, checked: 2026-10-05).

Ask for a proposed category beside each original description, then review the mapping manually. Keep the original text. A category such as "support" may hide separate jobs with different delivery effort.

Avoid advanced analysis when a simple table answers the question. Microsoft notes that a normal chart, formula or PivotTable can be faster and easier to interpret than Copilot in Excel with Python (Microsoft training on analysing Excel data, checked: 2026-10-05).

Write the profile without names

Turn the verified patterns into one page. Describe the company type, recurring problem, service bought, purchase pattern and reason the relationship fits your operation. Include a disqualifier, such as a job size or buying pattern that repeatedly creates poor work.

Keep customer names and exact invoice amounts in the analysis file, not the profile. The profile should help someone recognise a type of opportunity without exposing the underlying account list.

Compare the result with current pipeline data. If last year's largest customers were one-off projects, label that rather than calling them ideal. What not to do

Do not paste raw invoices into a personal AI chat. Microsoft says work use of Copilot and Copilot Chat is covered by its Product Terms and Data Protection Addendum, while web searches generated from prompts are outside that DPA and the EU Data Boundary (Microsoft enterprise data protection, checked: 2026-10-05).

Do not assume every Microsoft 365 user has the same Excel features. Microsoft distinguishes web-based Copilot Chat from work-based Copilot and lists Microsoft Copilot Business as an add-on for Business plans. Do not let Copilot edit the source export. Work in a copy and start with Chat only. Do not accept a generated profile until the totals match the table.

Do not use invoice value alone as a verdict. The file may not contain delivery cost, payment effort, capacity use or strategic fit. Name those missing fields instead of asking AI to guess them.

When you can handle this yourself

You can complete the first version internally when one person understands the invoice export, can restrict the workbook and can verify PivotTable totals. The result is a one-page hypothesis based on paid work, ready for discussion with sales and delivery.

Bring in help when customer identifiers do not match across accounting and CRM, the dataset mixes personal and company records, or the analysis needs profitability rather than invoiced value. A data protection professional or lawyer should answer personal-data questions. A marketing specialist can turn the verified profile into channel and message choices.

The best first profile is modest. It says who has bought repeatedly, what they bought and which pattern deserves a closer look. That is enough to replace a blank page with evidence.
